SEO for HR tech that gets you on the shortlist and into the AI answer

The searches that build an HR software shortlist, the pages that win them and what it takes to be the source an AI answer quotes.

SEO for HR tech that gets you on the shortlist and into the AI answer

In this post

  1. toc

The CEO of an HR software company opens ChatGPT late on a Sunday and types the question her buyers type, asking for the best HRIS for a 200-person company.

The answer comes back tidy, with five products and a line on each. She reads it twice, slower the second time, the way you reread a wedding seating chart when you can't find your own name.

Her product isn't on it, and that gap is what SEO for HR tech now has to close. Two of the names that made the list lose to her team in head-to-head demos more often than they win.

Google rankings still count, but the shortlist forms in the answer above them. That answer is assembled from pages you can write, profiles you can build and lists you can earn a place on.

SEO for HR tech, mapping the Google searches and AI answers that build an HR software shortlist

What does SEO for HR tech involve in 2026?

It means owning the searches HR, finance and IT run while they build a vendor shortlist, from category and comparison queries to pricing and integration questions. It also means being the source AI answers quote, through clear pages, dated facts and a presence on the review sites and roundups those answers read.

The person asking has changed too. In Sapient Insights Group's latest HR Systems Survey, the share of HR system selections led by executives climbed to 31% from 25% in 2024, and 55% of organizations use AI in HR. A COO with a chatbot open is a different reader from an HR generalist with a spreadsheet, and your pages have to work for both.

Which searches build an HR software shortlist?

HR buyers start wide with the category, narrow to two or three names, then check price, integrations and reviews before anyone books a demo. Each search has a page type that tends to win it and one element AI answers like to lift, so the empty rows on your site become your content plan.

Query typeExample HR tech queryPage that winsAEO element that gets quoted

Alternativesrival alternatives for mid-size companiesAn alternatives page that admits who the rival suitsFit by company size in a short list
Pricinghris pricingA pricing page with numbers, ranges or what changes the pricePlain figures a model can repeat

Review profiles have their own playbook in our software review sites post. They matter here because HR software reviews posted to G2 and Capterra are the third-party evidence AI answers lean on.

Search ads put a price on all of this. In the Semrush US data we pulled on 6 November 2026, one click on "hr software demo" cost $189.01, so every comparison page that ranks is a click you don't pay three figures for. Our guide to Google Ads for HR software covers when buying those clicks makes sense anyway.

One keyword, one page, no cage fights

HR software sites grow sideways. A blog post, a landing page and a feature page all chase "HRIS for small business", and Google picks one, often the weakest.

Two of your own pages fighting over one keyword is a cage fight that a competitor wins by not showing up. Give every page one primary keyword, write it down in a shared sheet and link the pages to each other on purpose.

Hub of SEO for HR software pages with a category pillar, comparison pages, integration pages, review profiles and practitioner guides

From an empty sitemap, we'd build in this order. The program around these pages is laid out in our HR tech marketing guide.

  1. A category page for your core buyer and the company sizes you serve.
  2. Comparison pages against the two or three rivals your sales team meets most.
  3. Alternatives pages for those same rivals, written for the buyers they disappoint.
  4. Integration pages for the payroll, benefits and ATS systems your buyers already run.
  5. A pricing page that answers the question, even if the honest answer depends on headcount.
  6. Practitioner guides that link back to the category page at the moment your product helps.

The integration page nobody wrote

Take a performance management company whose product syncs with one of the most popular HRIS platforms. Buyers who already run that HRIS search for the two names together, because they want proof the tools talk before anyone books a call.

What they find is the HRIS marketplace listing, where the company is one logo among dozens with a description someone wrote in a hurry. Its own website mentions the integration only in a strip of footer logos.

A rival with a thinner integration has a full page on its site, with setup steps, the fields that sync and a line on who it suits. That page ranks under the marketplace, gets quoted in the AI Overview and books the demo.

The fix is one page per integration on your own site, with the same plain description in every marketplace listing and a link back to the page.

An integration page is the least glamorous page on most HR software sites, and it's often the one a buyer reads the week before signing.

How do HR software companies get cited in AI answers?

Mostly by doing SEO well. Google's guidance on AI features, last updated in December 2025, says AI Overviews and AI Mode have no additional requirements beyond the SEO basics.

Our post on how to get software recommended by ChatGPT covers where answers get their picks and how to test them. HR software adds four habits of its own.

  • Dated compliance facts. HR buyers ask about leave rules and pay transparency deadlines. A page that names the rule, its date and the source is far easier to quote than one that says "stay compliant".
  • Headcount in plain words. AI answers sort HR software by company size, so state the size band you serve in numbers.
  • Security answers in public. The IT reviewer asks the chatbot about SOC 2 and data residency too. A security PDF behind a form is invisible to the AI answer and mildly annoying to the human one.
  • Tables over adjectives. Tables get lifted almost whole, while "intuitive and easy to use" gets skipped.

Content HR people forward to their boss

The practitioner audience is big. The Bureau of Labor Statistics counted 224,900 HR manager jobs and 939,700 HR specialist jobs in the US in 2025, and very few of them sign software contracts.

That's fine, because they write the shortlist their boss signs. HR managers rarely share a vendor blog, but they do share the checklist that saved them a Friday afternoon.

Pick problems that end where your product starts. Sapient found 36% of AI users adopted AI ahead of their HR processes and data, which makes "get your HR data ready for AI" a better topic for an HRIS vendor than the future of work. Our guide to content marketing for HR tech covers picking topics.

A blog post that ranks first for a question no software buyer asks is a hobby with a hosting bill. Mentions in analyst reports and the trade press help these pages rank too. Earning them is the subject of our HR tech PR post.

How long does HR tech SEO take to produce demos?

Specific pages move first. Comparison, alternatives and integration pages face fewer competitors, so they often rank and appear in AI answers within a couple of months.

Category terms like "best HRIS" take longer, usually several quarters, because review sites and big roundups hold those results. Judge the work on demos from organic and AI referrals, and on whether your name appears when you rerun the shortlist question each month.

Who builds the pages

We run SEO and AEO as a marketing agency for HR tech companies, and the plan above is the one we'd start with. The work is done by senior marketers and delivered weekly, at fixed prices quoted in writing, with all three pricing models on our pricing page.

Our nearest proof comes from another vertical software market. Conduit Tech, an HVAC software company ServiceTitan later acquired, grew organic search 1,389% year over year. SEO for HR tech gets built the same way, one page and one keyword at a time.

Send us the search your product should own. We'll build the page that wins it. Book a free 30-minute strategy session and leave with the first five pages we'd write for you.

The first call felt like talking to someone who already understood our business. We didn’t have to explain the basics. They showed up with questions that mattered.

FAQ

Frequently asked questions

How do HR tech companies get found on Google?

+

Mostly through pages that match how HR buyers shortlist. A category page names the company sizes you serve, comparison and alternatives pages cover the rivals sales meets most, and integration and pricing pages answer late-stage questions. Review profiles and practitioner guides fill the gaps, and each page should own one keyword so your own pages never compete with each other.

Does SEO for HR tech still work now that AI answers come first?

+

Yes, because AI answers are built from the same pages search engines rank. Google says there are no additional requirements to appear in AI Overviews or AI Mode beyond sound SEO. The difference is what gets quoted, which tends to be dated facts, tables, plain company size language and third-party mentions from review sites and roundups.

How do you get HR software recommended by ChatGPT?

+

ChatGPT recommends products it sees described clearly and consistently across many sources. Publish category, comparison and pricing pages that state who you serve in plain numbers, build review profiles, earn places in roundups and keep security answers public. Then ask the shortlist question logged out every month and note which sources the answer leans on.

Do G2 reviews help SEO for HR software?

+

Indirectly, and that still counts. A G2 profile ranks for your brand and for alternatives searches, sends late-stage buyers to your site and gives AI answers independent evidence about who you serve. Reviews that mention the reviewer's role and company size help most, because HR buyers and AI answers both filter by size.

Which agency handles SEO and AEO for HR tech companies?

+

Specialist B2B agencies and some SaaS SEO firms cover HR tech, and Leapyn is one of them, as a Certified HubSpot Solutions Partner running SEO and AEO with fixed pricing. Whoever you talk to, ask how they would map keywords to pages, how they track AI answers and how they count a demo from organic search.
